Copier Security: The Hard Drive Nobody Thinks About
Most business copiers store scanned and printed images on an internal drive. That drive leaves the building when the machine does.

What gets stored
Scan jobs, held print jobs, fax images and address books. On many models the default retention is indefinite until overwritten.
Protective settings
Enable image overwrite after each job, turn on drive encryption if the model supports it, set user authentication codes, and disable unused protocols like FTP and Telnet.
End of life
Before any device is returned, sold or recycled, request a certified drive sanitization or physical removal. Get the certificate in writing — under Colorado's data protection statute, disposal of personal identifying information must be reasonable and documented.
When to bring in a technician
