Fixing Scan-to-Email When It Suddenly Stops

Scanning breaks most often after a mail provider changes its authentication rules, not because the copier failed.

Fixing Scan-to-Email When It Suddenly Stops

Check authentication first

If your organization moved to modern authentication or enforced MFA, a legacy SMTP login on the copier stops working. An app password or an authenticated relay connector is required.

Ports and encryption

Port 587 with STARTTLS is the common working combination. Port 25 unauthenticated is increasingly blocked outright.

Attachment limits

Large color scans exceed mailbox limits quietly. Lower scan resolution to 200 dpi for text documents and enable compressed PDF output.

When to bring in a technician

Anything that repeats after a proper reset, produces a burning smell, or involves the fuser or high-voltage section belongs with a trained technician. Austintero Co. serves Centennial and the surrounding Denver metro and can usually be on site the same business day.
